I am the Library Specialist for the NASA ADS, the Digital Library for
Physics, Astrophysics, and Instrumentation
(http://adswww.harvard.edu/).
We are interested in including astronomy related conference abstracts
in the ADS. We would like to get abstracts for your conference, as
well as abstracts from the published proceedings. There is a
description of the abstract format that we prefer and other
information that is relevant to submitting conference abstracts at:
http://adsabs.harvard.edu/abs_doc/conf_help.html
Generally, Latex format would also be fine. If the
abstracts are from the proceedings, then we need the page
numbers with each abstract. If they are from the conference,
we will assign sequential numbers.
The entry for the conference itself can be submitted at any time,
even months before the conference. This may help with letting
people know about the conference.
We are also interested in reference lists for each article. If
you have these in electronic form, we would include them in our
citation database.
If you are interested, you can use the ADS as a search engine
for your conference with a specialized query form that returns
only abstracts from your conference. This query
form can be put on your conference website. An example of such a query
form is at:
http://ads.harvard.edu/pubs/conf.html
This page can be downloaded and modified for your use. You can,
for instance, include a conference logo and a link to the
conference page. We ask that you retain a reference
to the ADS as the provider of this service. Other than that,
you can style the page as you like, as long as you retain all
the fields.
In order for this to work for your conference, you will have to
modify the line at the bottom of the form to use the
abbreviation for your conference. We will let you know what
the abbreviation is when you send us the abstracts.
Because we have to deal with hundreds of conferences, we don't have the
time to go to individual conference websites and download
information. We need you to send the information to us in order to
include it in the ADS.
